Terms

1. General

These Terms apply to all services provided by Aavurton Travels & Tours Ltd (“the Company”). They form a contract between the Company and the lead passenger making the booking (“the Customer”). This contract is governed by English law and subject to the jurisdiction of English courts, unless you choose the law of Scotland or Northern Ireland.

2. Your Holiday Contract

A booking is confirmed once we receive your details and any required deposit/payment, and issue a booking confirmation. The lead passenger guarantees that they have authority to accept these Terms on behalf of all travellers. Please check your confirmation carefully and notify us immediately if corrections are required, as changes may not be possible later.

3. Payments

A non-refundable deposit may be required to secure flights, hotels, or tours. Bookings made within 12 weeks of travel require full payment at the time of booking. Payments can be made via PayPal, credit/debit card, bank transfer, or cash (by prior arrangement). A 5% processing fee may apply to card/online transactions. All payments are securely held in a Trust Account until your service is provided.

4. Prices

Prices are based on current exchange rates, fuel costs, and supplier charges. We will absorb small fluctuations, but if unavoidable cost increases exceed 10%, you may accept the price change or cancel and receive a full refund (excluding non-recoverable costs).

5. Amendments & Cancellations (By You)

All changes must be requested by the lead passenger. An administration fee of £50 per person (plus any supplier charges) applies to each change. Changes close to departure may be treated as a cancellation. Cancellations must be emailed to admin@ceylontour.lk. Free cancellation up to 24 hours before pickup (for transfers) or as specified in your booking. Cancellations within 24 hours or no-shows may be charged in full.

6. Amendments & Cancellations (By Us)

We reserve the right to make minor changes (e.g. time adjustments, similar-standard hotel). If we make a Major Change (e.g. change of accommodation, destination, or departure time by >12 hours), you may accept the change, switch to an alternative arrangement, or cancel and receive a full refund. If we cancel due to insufficient bookings or events beyond our control (Force Majeure), we will refund monies paid but cannot cover extra costs or compensation.

7. Force Majeure

We are not liable for delays or cancellations due to events beyond our reasonable control, including but not limited to: natural disasters, strikes, pandemics, government restrictions, war, terrorism, severe weather, or transport cancellations.

8. Meeting Your Driver & Waiting Time

Airport pickups include 1 hour of free waiting time after landing. Non-airport pickups include 15 minutes free waiting. Additional waiting is charged per hour (based on vehicle type). Flights are monitored in real time — no charge for delays.

9. Behaviour

You are responsible for your own conduct and that of your party. If behaviour causes danger, damage, or distress, we may terminate services without refund. You will be responsible for any costs resulting from your actions (e.g. damages to vehicles).

10. Complaints

If you experience an issue, notify your driver/guide immediately to allow a solution on the spot. If unresolved, email admin@ceylontour.lk or write to Customer Relations Department, Aavurton Travels & Tours Ltd, 39 Colombo Road, Ilford, Essex, IG1 4RH, United Kingdom. Complaints must be submitted within 28 days of your return. We are a member of ABTA and follow its Code of Conduct. If we cannot resolve a complaint, you may use ABTA’s dispute resolution process (www.abta.com).

11. Liability

We are responsible for ensuring services are provided with reasonable skill and care. Our liability is limited to the cost of the service booked, except where injury or death is caused by our negligence. We are not liable for: loss or damage caused by third parties outside our control, losses due to Force Majeure events, or unforeseen incidents where reasonable care was taken.

12. Data Protection & Privacy

Your personal data is handled securely in accordance with UK data protection law. Information is shared only with suppliers as needed (e.g. drivers, hotels). You may request a copy or deletion of your data at any time. See our Privacy Policy for full details.

13. Special Requests & Medical Needs

Please inform us of any special requests or medical conditions at the time of booking. We will pass them to suppliers but cannot guarantee fulfilment unless confirmed in writing. If we cannot accommodate your requirements safely, we reserve the right to cancel and refund.
